Harborview Medical Center's Patient Care Services has an outstanding opportunity for a Administrative Assistant (Full-Time, Days). This position reports to the Associate Chief Nursing Officer, the Administrator over all inpatient critical care units and staffing. In partnership with the leadership team, this individual takes a dynamic role in supporting duties integral to the daily operations of the Patient Care Services (PCS) division, and which promote the Chief Nursing Officer’s initiatives.
Primary areas of responsibility: Meeting scheduling and set up, minute taking, requisitioning and special projects for the Critical Care department within the PCS Division.

Knowledge, Skills, and Abilities/ Key functions include:
  • Demonstrates expertise with Microsoft Office Suite.

  • Performs high-level administrative support functions: advanced and complex word processing, graphics, Excel spreadsheets; exhibits interest in learning new software platforms.

  • Adheres to professional written communication standards: articulates complex ideas in clear concise writing with bulleted points; is able to summarize recordings and keyboard at 50 wpm.

  • Has basic familiarity with medical terminology.


  • Support and Coordination of Operations:
  • Supports the Outlook calendar of the Assistant Administrator and critical care managers; schedules in-person and ZOOM meeting and responds to meeting requests on behalf of the leadership team.

  • Supports invitations, agendas, reminders, and meeting minutes for several high-level meetings.

  • Performs complex functions including advanced, complex word processing, graphics, spreadsheets, database tasks, and limited Kronos timekeeping.

  • Engages effectively with other departments and works independently on the Administrator’s behalf.

  • Remains current with information disseminated through email and relays messages and responds to information accurately and in a timely manner.

  • Demonstrates awareness of, and functions within, PCS policies, procedures, and guidelines for safety and regulatory compliance.

  • Assists with onboarding of new departmental staff.


  • Standards of Daily Practice:
  • Displays a keen awareness of department needs and responds appropriately. Takes initiative to ensure equity in office; offers assistance when team members face peak in workload.

  • Suggests and implements process improvement via feedback, documentation, data tracking, and/or participation in committees and initiatives.

  • Prioritizes workload and follows through on delegated tasks projects in a timely manner; quality of work is at the expected professional level.

  • Exhibits a positive approach to problem-solving: resolves concerns and/or direct them to appropriate staff/department. Apprises supervisor of actual and/or potential problems in a timely manner. Maintains confidentiality with sensitive HIPAA and hospital information.

  • Maintains reliable work attendance; consistently wears identification badge.

  • Demonstrates courteous and professional communication skills with administrators and staff. Accepts and gives feedback in a constructive and courteous manner.

  • Promotes positive image of self, PCS Administration, and Harborview. Greets patients, visitors, and staff, and interacts in a manner that demonstrates an attitude of respect for human dignity and the uniqueness of each patient, visitor, and staff member.


  • Requirements:
  • BA preferred

  • High School/GED AND four years of executive-level administrative support experience with minute-taking, OR equivalent education/experience
