Facilities Management Administrator (Part Time) [United Kingdom]


 

To support the Senior Facilities Management Administrator co-ordinate and oversee the administration operation of a particular department/section/unit, to ensure smooth running of teaching and learning/research activities.

The role-holder provides office management and senior administration support to the Senior Facilities Management Administrator.

Support includes diary management, assisting with University contracts and tendering, preparation and distribution of papers as well as contributing to new and existing projects. Contracts include, Waste Contract, Cleaning Contracts, Window cleaning and so forth. This assistance includes scoring tenders, attending site visits, being involved on the interview panel, scoring interviews and being involved in the post-tender award of the contract. Projects: examples include coordinating the move to Greenwich House, and being involved in review of AV equipment in Centrally Managed Lecture Theatres.

The role holder will be the Secretary for Site Committees, Department Group Meetings, Contract Meetings and University working groups.

The role-holder supports the car park databases and helps organise the annual allocation of approximately 3,000 parking badges, plus the operational management of the system throughout the year. This includes the maintenance and repair contract, Departmental enquiries and issues and producing management reports of the live car park data. The role-holder is also involved in the University Car parking strategy.

About you: In order to succeed in this role, you will join us with: Experience of working in an administrative role. Ability to work accurately and efficiently without close supervision. Ability to manage an events team in support of a University event at any location across the Estate. Ability to take on additional work relevant to the role when needed. Committee administration.
