Receptionist/Accounting Assistant

Responsibilities and Duties
Administrative Assistant
· Provide administrative support to executive staff members and accounting staff
· Greet customers in a friendly and professional manner. Answer inquiries and help when needed
· Answer telephones promptly and in a courteous manner. Will screen incoming calls and direct them to the appropriate department and take accurate messages
· Will sort and distribute all incoming mail
· Ensure office supplies are ordered and restocked for company
· Ensure coffee and snacks are ordered and restocked for company
· Update office calendar and ensure work area is clean and tidy
· Maintains files, including filing of accounts receivable documentation, and other miscellaneous filings
· Scan, shred and copy other documents for accounting office as needed
· Communicate effectively and efficiently with other departments as needed
· Run company errands (mileage reimbursed)
· Provide Spanish-English translation services when needed
· Completes special projects and miscellaneous assignments as required
Accounting Assistant
· Types a variety of documents, reports, and records
· Runs daily invoicing
· Prints daily invoices and insert invoices into envelopes for mailing
· Emails Daily Sales report
· Assists in preparing deposit
· Assists in posting checks
· Assists AR with researching credits for customers
· Assists with UPS tracking
· Research discrepancies with short payment
· Assists Accounting Department personnel as needed
Skills and Qualifications Required
Education:
· High School Diploma or equivalent
Experience:
· Minimum one year experienced required
Language:
· Bilingual, must be fluent in English and Spanish ability (Writing and conversational)
License/Certification:
· Must have valid CA driver’s license. Occasional driving is required. Must provide own vehicle, valid California driver license and proof of full insurance coverage
Knowledge, Skills and Abilities
· Experience with Microsoft Office (Outlook, Excel and Word)
· Possess strong analytical skills and time management
· Attention to detail and accuracy
· Must be reliable and on time
