What We Need:
ABOUT THE ROLE

We are looking for a HR Administrator to join a small team in a fast-moving and global agency
working to multiple deadlines. A positive can-do attitude a willingness to learn and a sense of
humour is a must.

Reporting into the HR Business Partner based in London, this role is to support the HR team with
administrative and coordination tasks for the EMEA region. In all tasks, the role holder will ensure
that confidential and sensitive information is treated accordingly and in line with HR policy and
relevant legislation.

What you'll be doing:
RESPONSIBILITIES

  • Assist with all internal and external HR related administration, inquiries, or requests.
  • Provide support to the HR team and stakeholders with interview logistics and diary management
as and when needed.
  • Maintain digital copies of employees' records
  • Re-organisation and maintenance of HR drive
  • Draft contracts of employment and send with new starter pack.
  • Deliver employee inductions and follow up with related documentation in absence of HRBP
  • Coordinate integration plans with line managers and other department inductions
  • Assist with background checks and monitor progress
  • Diarise probationary reviews with managers and ensure they are completed in a timely manner
(to raise with HRBP if there are any performance issues/concerns/delays).
  • Input data into HR Information System and ensure it remains up to date with any changes
  • Assist with leaver process, responding to resignations, scheduling exit interviews and
questionnaires
  • Work with HRBP in quarterly data audits
  • Maintain immigration paperwork and trackers.
  • Run reports from Workday, CultureAmp and other internal systems to support data analysis
  • Ensure the smooth on-boarding of new hires by liaising with IT to ensure equipment is set-up.
  • Support HRBP with benefit administration
  • Support HR team with processing of HR related invoices
  • Assist with wellbeing programme, researching workshops, liaising with vendors and scheduling.
  • Support the HRBP to accurately maintain organisation charts
  • Support formal meetings as required, including scheduling, note taking and drafting
correspondence
  • Schedule meetings, interviews, HR events and maintain agendas.
  • Produce and submit reports on general HR activity.
  • Assist with payroll data collation
  • Support other assigned functions.
  • Keep up to date with the latest HR trends and best practice

What you've been able to accomplish:

PREVIOUS PROVEN EXPERIENCE

  • Strong experience of working in an administrative/supporting position working with highly
sensitive and confidential information is essential, preferably within a HR department.
  • Ability to work in a fast-paced agency with competing priorities.
  • Working knowledge of HR policy and practice, and understanding of employment law
  • Experience of MS Office applications including Teams, Word, and advanced Excel, beneficial
  • Experience of working with Workday is beneficial
  • Strong attention to detail, administration, time and project management skill
