The Coordinator supports the North America Commercial Operations staff with administrative, project, office coordination and operational tasks. This role reports to the Commercial Operations team’s Project Specialist in support of VPs and the larger leadership team. Success involves a high level of interaction and effective communication with team members at all levels of the organization. A significant portion of the job involves working with the Field Audit team to ensure accurate and timely travel expense reporting.Principal Duties and Responsibilities
· Responsible for accurate review and processing of department invoices and travel expenses, including the management of Field Audit team expense reporting, while maintaining, at all times, compliance with ZB policies.- Work in collaboration with Project Specialist and leadership to provide project support for staff in Commercial Ops/Sls area.
- Executes Commercial Ops Leadership Team’s domestic and international travel arrangements.
- Organize and coordinate in-house and off-site meetings, teleconferences and videoconferences including scheduling meetings, booking conference rooms and viewing calendars on leader’s behalf.
- May lead small process improvement projects, to enable more efficiency.
- Prepare written communications – emails, Microsoft Teams, presentation materials and other correspondence as applicable.
- Partner with leaders and Project Specialist to facilitate and coordinate employee engagement activities, including scheduling, reservations, vendor management and invoicing.
- Must have flexibility to work overtime as needed, including potential remote weekend support in case of travel emergencies.

At times will be asked to attend meetings alongside the Leadership Team to take notes and manage meeting agendas.
- Excellent verbal and written communication skills.
- Strong in the English language – mostly written communication, with occasional phone calls and regular attendance in virtual meetings.

- Demonstrated strong organization skills, with the ability to work on multiple tasks simultaneously and balance priorities.
- Ability to develop interpersonal relationships and work effectively in a professional environment Proficiency in Word, Excel, PowerPoint and Outlook/Mail/Calendar.
Education/Experience Requirements
• High School diploma required.- 2+ years of experience in administrative processing or related roles. Must have reliable home internet.
